TheraPlatform’s one-of-a-kind telehealth system integrates a number of features, including therapy-relevant interactive games for keeping younger clients engaged. TheraPlatform costs $39 – $79+ monthly, with discounts on the first three months commonly available.
While TheraPlatform isn’t the overall best mental health EHR we’ve used, it does offer unique value to practices that lean heavily on telehealth. Plus, if you only need limited functionality, the Basic plan is pretty affordable compared to the competition and allows for unlimited clients. For the most value-packed EHR for most practices, we recommend My Best Practice. Meanwhile, SimplePractice offers a few business-building tools that TheraPlatform lacks.

Client Management
Client management in TheraPlatform has seen some improvements since the last time we used it, making it more streamlined and user-friendly. The system offers a clear and well-organized layout that makes it easy to manage caseloads of any size. When viewing a client chart, key information like demographics, upcoming sessions, notes, billing history, uploaded documents, and account settings are all accessible from individual tabs on a single page.
New clients can be added manually or in bulk through spreadsheet import. From a client’s page, it’s easy to send forms directly to the client portal, share documents or therapy resources, and manage consent paperwork. Built-in eFax functionality ($0.10/fax + $10 monthly) makes it simple to transmit important records without needing a third-party platform.
The main client list is fully searchable by name, assigned therapist, or insurance provider. You can also create custom client groups for classes or group therapy and personalize the client data table to show the exact fields you care about—like date of birth, client ID, or session status. Custom filters let you sort or segment your caseload with just a few clicks.
For auditing and security, TheraPlatform includes an activity log that tracks user actions across the platform. While it may not offer some of the deep automation tools of more advanced systems or any out-of-the-ordinary features, its clean layout and thoughtful feature set make everyday client management fast and reliable.
Because of recent system improvements, we’ve increased TheraPlatform’s score from 3 to 4 out of 5 stars in the “Client Management” category of our scoring criteria.
Client Forms & Intake
TheraPlatform offers a relatively solid approach to managing client forms and intake paperwork. Forms are divided into two categories: Consent Forms and Intake Forms. Consent forms come with two pre-built templates: Telehealth Consent and Notice of Privacy Practices. While both are useful, it’s a bit surprising that a standard Informed Consent for Treatment isn’t included out of the box—a staple in most EHRs.
The Intake Forms library is much more robust, with 56 pre-made templates available during this round of testing. Forms range from basic intake questionnaires to scored assessments like the PHQ-9, GAD-7, DASS, and even a few Spanish-language versions of some of the more common forms. All templates can be activated or deactivated depending on your practice’s preferences, which makes organizing your workflow fairly simple.
You can edit existing templates, duplicate them, or build custom forms from scratch using the built-in form builder. The builder supports common form elements, but it lacks some of the polish and ease-of-use found in platforms like TheraNest or My Best Practice for creating complex and interactive forms. There’s more back-and-forth involved in navigating between different parts of the form builder, and the layout could feel clunky for users expecting a more streamlined experience.
Considering all of this, we decided to retain TheraPlatform’s 3 out of 5 stars in the “Client Forms & Intake” category of our scoring criteria.
Calendar & Scheduling
TheraPlatform’s calendar and scheduling system has seen noticeable improvements since I last tested it, offering a much smoother and more intuitive experience overall. While it still doesn’t support drag-and-drop rescheduling—a common feature in other EHRs—it makes up for that with strong flexibility and thoughtful design upgrades.
You can filter the calendar by provider or session type, which makes it easy to manage a busy caseload or coordinate across a team. Each session can be customized with key attributes like service code, provider, location, and type of therapy. From the calendar entry, users can quickly start a telehealth session, create an invoice, or add internal notes—all without needing to switch screens.
TheraPlatform also includes built-in waitlist functionality, recurring appointment scheduling, and self-scheduling via the client portal. Setting provider availability is straightforward, and practices can integrate their calendar with Google Calendar or embed the scheduling widget on their website. Appointment reminders are free via email and cost $0.02 per SMS.
One small example of the occasional friction points in TheraPlatform: if you try to schedule an appointment for a new client who hasn’t been added yet, there’s no option to create their profile directly from the scheduling screen—you’ll need to back out, add them separately, then return to the calendar. It’s a minor inconvenience on its own, but emblematic of some of the small workflow quirks that can add up over time. Other platforms tend to smooth these edges out more cleanly.
These thoughtful updates and well-integrated features make scheduling in TheraPlatform easier than ever, earning it a revised score of 4 out of 5 stars in the “Calendar & Scheduling” category of our scoring criteria.
Treatment Planning & Notes
TheraPlatform offers a wide selection of prebuilt templates for both treatment planning and progress notes, including a solid variety tailored to mental health, as well as speech pathology, occupational therapy, and physical therapy. Templates can be activated, deactivated, duplicated, or customized, which gives clinicians a good amount of control over what appears in their documentation library.
That said, customizing or building new templates relies on the same form builder we saw for intake forms—which, while functional, isn’t as smooth or intuitive as we’ve seen in platforms like TheraNest or My Best Practice. It can feel a bit clunky at times and involves more back-and-forth than necessary.
There are a dozen or so progress note templates ready to go out of the box, covering popular formats like SOAP, DAP, and specific issues such as depression or anxiety. The interface doesn’t offer anything revolutionary like the flowchart-style documentation system in ICANotes, but it’s serviceable and gets the job done perfectly well for most use cases.
If you want to speed things up and create audit-ready treatment plans and notes with just a couple of clicks, the Wiley Practice Planner integration is available for $15/month per clinician. It’s not required, but it adds a powerful layer of automation for clinicians who prefer more structured documentation or need to meet specific insurer requirements.
Because of its range of specialty templates and ability to add on Wiley, TheraPlatform continues to earn 4 out of 5 stars in the “Treatment Planning & Notetaking” category of our scoring criteria.
Telehealth
TheraPlatform stands out from some of the other EHRs we’ve tested with its feature-rich telehealth experience. In addition to standard features we’ve come to expect like screen sharing, the platform supports real-time resource sharing and even lets you play educational videos during a session. You can also view your full client list and daily schedule right from the session screen—an incredibly useful touch for those days you’re running a bit behind.
One of the most unique offerings is the library of interactive games, available with the Pro Plus plan. While many are designed for speech-language pathology and occupational therapy—focusing on skills like articulation, auditory memory, or reasoning—there are several games relevant to mental health as well, including social-emotional learning and following directions. For therapists who work with children or teens via telehealth, these tools can be game-changing for client engagement. It’s also capable of HIPAA-compliant session recording for supervision.
The platform also excels at in-session collaboration. A collaborative whiteboard could be very useful for mapping out ideas. You can annotate shared resources directly on-screen, switch between shared materials easily, and send files to clients during or after the call with in-session chat. During my testing, the video and audio quality remained strong, and all tools functioned smoothly even with an active guest in-session.
Because of its depth, flexibility, and well-executed telehealth tools, TheraPlatform has earned a perfect score—5 out of 5 stars—in our “Telehealth Features” category.
Insurance Billing
TheraPlatform offers a clean, reliable experience when it comes to insurance billing. Submitting and tracking claims is straightforward, and the system includes all the functionality most practices need to manage insurance workflows efficiently. Insurance billing is available on Pro Plans ($69+ monthly) and up. Electronic claims are competitively priced at $0.25 per claim, and insurance eligibility checks cost $0.10 per verification.
The ability to automate claim submission is a notable feature—TheraPlatform can be configured to automatically generate and send claims after a session is completed. You can customize the frequency, batching, and conditions, which helps reduce manual effort and streamline the process. Creating superbills is equally simple, with options to generate them manually or have them created automatically for each client.
While not particularly flashy, the insurance billing tools are robust, dependable, and easy to use—earning TheraPlatform a well-deserved 5 out of 5 stars in the “Insurance Billing” category of our scoring criteria.
Client Payment Methods, Collection, & Processing
TheraPlatform makes it easy to manage client payments with a straightforward and flexible billing system. Practices can generate invoices manually or set up automated invoicing and recurring charges, helping to streamline billing and reduce the chances of missed payments.
Clients can log into the portal at any time to view and pay invoices, update their payment methods, or review their billing history—freeing up admin time and giving clients a more modern, self-service experience.
For payment processing, TheraPlatform integrates with Stripe, with current rates listed at 2.9% plus $0.30 per transaction. All processing fees are handled through Stripe directly, with no additional charges from TheraPlatform itself.
While the billing tools aren’t radically different from most other EHRs, they’re thoughtfully designed and work well out of the box. TheraPlatform includes a well-rounded set of tools to help manage both the clinical and administrative sides of a practice. You can assign custom roles and permissions to each staff member, from front office schedulers to billing staff to supervisors, making it easy to protect client data and streamline operations. For practices that supervise interns or students, TheraPlatform includes an observer role within the telehealth platform, which allows for real-time session observation without disruption.
The internal messaging system supports communication between team members and with clients directly, and attachments can be easily shared and saved to the client’s chart. This keeps important context and documentation in one place, improving collaboration and continuity of care.
When it comes to reporting, TheraPlatform offers built-in analytics and customizable reports that can track billing, documentation status, caseload trends, and more. These reports can be filtered by provider or other variables, which makes it easier to keep tabs on performance and compliance across the board.
For practices that need to send documentation externally, electronic faxing is available as a $10/month add-on, with a per-fax fee of $0.10.
