One of the first things that stood out while using Practice Better is how clean and intuitive the whole system feels, particularly with client management. It’s one of those systems where you don’t have to hunt through menus or click five layers deep to find what you’re looking for. Everything is exactly where you anticipate it to be, making navigation a breeze. From the client list to the calendar, everything flows naturally; they’ve clearly put a lot of thought into what real-world practitioners actually need.
Practice Better has included this “Client Hub” view that’s basically a floating mini-chart you can summon and take with you anywhere in the system. It lets you pull up a client’s basic info, medical history, notes, protocols, forms, and even lab results, without leaving the page you’re working on. You can drag it around your screen or keep multiple client hubs open at once. It sounds like a small thing, but it makes multitasking and note-jotting mid-session way easier than any other system I’ve tried.

It’s drag-and-drop, smooth, and way more powerful than most of the clunky, rigid tools you’ll find in a lot of other systems. Whether you’re building intake paperwork, custom assessments, feedback surveys, or even creating your own courses and programs, the experience feels streamlined and immediately approachable.
One thing I really appreciated is how unified the form builder is. You’re not jumping between totally different tools for different types of content—whether you’re making a progress note template, a consent form, or a behavior-tracking tool, it all uses the same intuitive builder. The templates library is pretty sizable right out of the gate, and it’s easy to customize any of them to fit your own workflow.
One of my favorite features here is the ability to import forms and templates from other users. If a colleague has already made a great protocol or a multi-part client course, they can just send you a code and you can instantly drop it into your own system. That kind of cross-practice collaboration isn’t something I’ve seen in other EHRs, and it’s a game-changer if you’re part of a strong professional community or clinical collective.

The scheduling system in Practice Better is one of the better I’ve had the chance to work with. It’s drag-and-drop, highly customizable, and—most importantly—it doesn’t make you feel like you’re juggling spreadsheets just to get through your day. You can set up multiple calendar views, create different appointment types, block time, and manage both individual and group sessions without it turning into a mess.
One of the most refreshing things is how non-intrusive the interface is. You’re not constantly being kicked to new pages when you click something. Most actions happen in slick overlays and pop-ups, which means you can schedule or reschedule an appointment without losing your place or closing other tabs. That sounds minor, but if you’re juggling back-to-back appointments and documentation, it makes a real difference.
When you go to create an appointment, there’s a ton of flexibility. You can customize rates, assign service codes, leave notes or instructions for the client, and choose whether they confirm it themselves or you confirm it on their behalf, among many other options. Whether you like to work from structured templates or jot things down more loosely, the system doesn’t get in your way. You can open up a client chart and start a note on the fly, straight from the face sheet, which is very handy.
The “on-the-fly” note builder widget works a lot like the dedicated form and template builder: drag-and-drop, clean, and totally customizable. You can add checkboxes, dropdowns, text boxes, signature fields—whatever your workflow calls for. I loved that I could build out a note format as I was writing it, instead of needing to prep a perfect template beforehand. It makes it easy to stay in flow during or after a session without sacrificing structure. If you like to follow a template like SOAP, BIRP, and so on, Practice Better has several pre-made that you can tweak to your liking, or just build one from scratch.

You can use their built-in video platform, or you can integrate with Zoom or potentially another external app if you prefer. Either way, jumping into a session is fast. You can launch a call straight from the calendar, and it only takes a couple of clicks to get going.
The built-in telehealth system itself feels clean and professional. You’ve got all the basics you’d expect, like background blurring or swapping in a virtual background (they even give you a dozen or so options to pick from), plus simple controls for changing your microphone and camera inputs. You control exactly when the session “starts,” and clients can hop in at their convenience after that. There’s a picture-in-picture view, screen sharing, solid background noise suppression, and a nice little doorbell chime when a client joins the room—which is a small touch but makes a difference when you’re busy multitasking or doing notes while you wait.
One of my favorite features of Practice Better’s telehealth platform is how easily you can pull up that handy floating Client Hub while you’re in session. If you need to double-check a treatment plan, past notes, or even jot down a quick private thought mid-session, it’s all right there without having to leave or disrupt the call. Or you could even use it to get a jump on writing your progress note in-session in real time, if that’s your style. There’s also an in-session chat function that supports text, emojis, and file attachments.
In terms of performance, everything ran smoothly during testing, with no noticeable lag, latency, or connectivity issues. It’s not totally clear what the participant limit is for group sessions using Practice Better’s native platform, but if you’re planning larger groups, integrating Zoom gives you a safety net for handling bigger crowds.

Inside Practice Better, you can generate superbills, CMS-1500 forms, and client invoices very easily. Or, you can connect third-party payment processors like Square or Stripe. Once that’s set up, clients can pay for sessions, programs, or outstanding invoices right from their account. Inside the Reports section, you can quickly pull data on session history, cancellations and no-shows, package usage, payment history, taxes collected, transaction statements, and a handful of extras. You can also run reports on things like unsigned or incomplete notes, client form responses, program enrollment metrics, and even journal entry analysis if you use those features with your clients. It’s a deep set of reporting options, but everything is laid out cleanly and you can filter or export most reports with just a few clicks.

Practice Better doesn’t really lean into a high-touch customer service model like we’ve seen with some platforms—and honestly, with how intuitive the system is, it doesn’t feel like much of a loss. Most users will find everything they need through the system’s extensive knowledge center, which is packed with tutorials, FAQs, and step-by-step guides. It’s well-organized, easy to search, and does a good job of walking you through both basic and more advanced features. But, during my time using Practice Better, I rarely actually had to dip into the knowledge center just because the system is that user-friendly.
If you do need to reach out for direct support, Practice Better mainly handles tickets through email rather than offering instant live chat or phone support. Some users across the internet have mentioned slower response times for more complicated issues, so it’s something to be aware of if you like having fast, hands-on help available or a dedicated account manager. That’s just not the situation at Practice Better.
That said, because the platform is so user-friendly and well-documented, it’s unlikely you’ll find yourself stuck often.
