That said, Healthie isn’t without a couple of shortcomings. There’s no AI charting support like some newer competitors offer, and the client import process is manual and surprisingly slow. Overall, Healthie strikes a good balance between usability, flexibility, and affordability. Client Management
Healthie makes it easy to manage client records with a clean layout and thoughtful design. The main client list gives you quick access to key actions like booking sessions or reviewing charts. Each client’s chart is tabbed and information-rich, with sections for care plans, journaling, billing, charting, metrics, and more. The layout is visually appealing and surprisingly customizable for a platform at this price point.
One important detail that sometimes gets overlooked: clients can be set to their own time zone, so they get reminders at the right time no matter where they are. The profile view also shows quick stats and makes it easy to jump into notes, programs, or documents without having to switch tabs.
The only real drawback to this part of the EHR is how client imports work. Instead of uploading a spreadsheet and automatically mapping fields like most systems, Healthie asks you to submit your data and wait up to two weeks for them to process it. That’s not ideal if you’re trying to switch platforms quickly, and it’s really not something I’ve seen from other EHRs.
Still, once you get onboarded, Healthie does an excellent job of supporting day-to-day workflows. It’s well-suited for solo providers and small teams looking for something highly flexible but still easy to use. Client Forms & Intake
Healthie’s forms and intake system is intuitive, capable, and covers quite a bit of ground. You’ll find more than 60 prebuilt templates ready to go, covering everything from basic intake to assessments like the PHQ-9, GAD-7, ACE Questionnaire, and many others. There’s also a full set of charting templates, including SOAP notes, treatment plans, and mental health assessments. While it doesn’t have a public community library or ability to share templates with peers like we saw in our reviews of Carepatron or Practice Better, the built-in selection is solid and well-rounded.
Building your own forms is simple thanks to the drag-and-drop editor. You can reuse fields you’ve built before, organize templates into folders, and assign forms to specific workflows or intake packets. I appreciated the system giving us the ability to bundle multiple forms together into “Intake flows” and send them to clients automatically. It’s a great time-saver for practices that have standardized onboarding protocols.
Another nice touch: you can copy individual fields or sections from other forms you’ve built, so you’re not stuck recreating the wheel. That’s something not all platforms offer, and it helps you stay consistent without extra work.
There aren’t any flashy AI integrations here (Healthie says they’re working on them), but Healthie’s form system is dependable and genuinely pleasant to use. It supports structured documentation and flexible workflows without trying to reinvent the wheel.

Calendar & Scheduling
Healthie’s calendar does exactly what I’d need it to do—no flash, no trash, just a clean and effective scheduling tool that’s tightly integrated with the rest of the EHR. You can view your day, week, or agenda in a few clicks, and everything supports fluid drag-and-drop rescheduling. Booking new sessions is quick, and you’ve got options for setting appointment types, durations, buffers, and reminders.
It’s flexible enough to support multiple locations, personalized time zones, contact types (like video vs. phone), and availability settings. If you’re running a group practice, you can color-code calendars and manage visibility across providers, though that feature is only available on higher-tier plans. You can also connect external calendars (Google, Outlook, iCal) to sync your schedule across platforms.
Healthie lets clients book sessions from the portal using your customized booking link. You can control who can book, what appointment types are offered, and how far in advance sessions can be scheduled. Everything feels snappy and easy to adjust, and it all ties back into the rest of the system without feeling just clumsily bolted-on.
We gave Healthie 4.5 out of 5 stars in the Calendar & Scheduling category. It’s simple, fast, and dependable, and while it doesn’t push many boundaries, it does the job very well.
Treatment Planning & Notes
Healthie handles documentation with a good mix of structure and flexibility. You can choose from a solid selection of built-in note templates: SOAP, DAP, mental health status evaluations, and more. Or, build your own using the same drag-and-drop system used for intake forms. The editor is cleanly implemented here and lets you fill out notes efficiently without feeling locked into rigid formats. Treatment plans operate under a slightly different system, but it’s still pretty easy to set up templates for those, as well.
One of the most useful design choices is how seamlessly charting fits into the rest of the system. You can start a note during a telehealth session, finish it later from the calendar, or open it from the client’s profile. Notes can be saved as drafts and picked up across different views, making it easy to move between sessions and paperwork without losing your place.
While there’s no Wiley integration or true automation for charting, Healthie’s “Smart Phrases” feature lets you save and reuse common responses. It’s not quite AI-powered, but it can save time and standardize documentation. And since you can open multiple notes at once with as many tabs as you like, it’s easy to switch between different templates or track progress across sessions. Several times, I intentionally clicked off of work I was doing in an attempt to lose progress, but Healthie relentlessly auto-saved everything and I was always able to get right back where I left off.
Overall, Healthie’s charting is user-friendly, adaptable, and well-suited for providers who want something efficient but not overengineered. It earned 4 out of 5 stars in this category.
Telehealth
Healthie’s built-in telehealth system feels polished and easy to use. Starting a session is as simple as clicking on the appointment, and instead of redirecting you to another tab, everything runs right inside the EHR window. You can still navigate the platform, but Healthie gives you a heads-up if you’re about to leave the video room, which helps avoid accidental disconnects.
The layout is modern, and the video quality was stable during testing. You’ve got standard tools like screen sharing and in-session chat, but what stands out is how much you can do while the call is running. You can open side tabs to take notes using your templates, access intake forms or care plans, view previous notes, jot down quick session thoughts, and even generate a superbill or CMS 1500 all without ever leaving the call. You can pop open as many tabs as you need and toggle between them with ease.
The video window itself is adjustable: full screen, partial screen, or a small floating PiP box if you want to focus on notes. You won’t find fun background filters or blur tools (or the client engagement features of TheraPlatform), but you will find a solid workflow for multitasking in session. This is especially helpful for providers who like to document while they work or provide in-session resources.
For group therapy, the higher-tier plans unlock group video calls and additional engagement tools. All told, it’s one of the more flexible and functional setups I’ve seen, especially for providers who want to handle everything in one place. Healthie earns a full 5 out of 5 stars in the Telehealth category.
Insurance Billing
Healthie includes built-in tools for handling insurance, but it’s not the platform’s strongest set of features, especially if insurance is a big part of your workflow.
You can generate CMS 1500s, create superbills, and enter payer information without much trouble. Submitting claims directly through Healthie is possible thanks to its integration with Office Ally, and the claims process itself feels fairly smooth. However, it’s not very customizable, you can’t select your own clearinghouse, and it generally just feels like it would be better for a smaller practice.
The tools are functional, but don’t expect the depth you’d find in more insurance-focused EHRs like SimplePractice or the managed billing assistance we saw in our CounSol.com review. That said, for solo or hybrid practices submitting just a few claims a week, Healthie will probably get the job done just fine.

Client Payment Methods, Collection, & Processing
Healthie handles client payments through a built-in Stripe integration, which means you can accept credit card payments, manage invoices, and issue superbills without much setup at all. You’ll need to connect your Stripe account during onboarding, and from there, most of the payment tools fall right into place automatically.
Clients can pay securely through the portal, and payments can be tied to specific sessions, packages, or services. You can also track outstanding balances, send reminders, and automate receipts. It’s easy to set up flat fees, recurring charges, or late cancellation policies, and everything is recorded inside each client’s billing tab for quick access.
One nice touch that I haven’t seen many other competitors implement is Healthie’s credits system, which lets clients prepay for sessions or services and apply those credits as needed. It’s especially useful for practices that bundle care into packages or offer subscriptions.
There’s no support for processors outside Stripe, and no ACH billing built-in, so if you need those options, you may run into those limitations. But for most solo and small practices, especially cash-pay, it’s a useful setup.

Practice Management & Reports
Healthie does a solid job of supporting daily operations, especially for solo providers and small teams. You can manage scheduling, billing, documentation, and communication without needing to leave the platform, or even have to switch tabs in many cases. Everything is centralized, and the learning curve is nice and gentle, even for less tech-savvy users.
Reports are visually pleasing and easy to generate. You can run reports on appointments, cancellations, payments, insurance claims, client activity, and more. They’re not as customizable as what you might find in enterprise-grade platforms, but for most smaller practices, they offer the key insights you need without overwhelming you. Reports can be downloaded as PDFs, and the visuals are easy to share or present to a team.
The Marketing tab allows you to send out client announcements or newsletters directly from the system. It’s not as full-featured as a standalone email platform, but it’s great for keeping in touch with clients or announcing changes without needing an external tool.
For practices that want lightweight management tools with some reporting and engagement capabilities, Healthie delivers. It’s missing the advanced analytics or deep customization options that some competitors offer, but chances are you don’t need those anyway.

Customer Service & Training
Healthie offers a decent support experience overall, though it’s not quite as hands-on as some competitors. Most users will rely on the Help Center, which is full of searchable guides, video tutorials, and step-by-step walkthroughs. It’s well-organized and easy to navigate, making it a good resource for onboarding or solving common issues on your own.
If you need to contact someone, live chat isn’t built directly into the interface, and there’s no phone support available. Email is the primary support channel, and while response times vary, users report generally positive experiences. Some user reviews I found noted long wait times or unreturned messages, especially on the lower pricing tiers, which may frustrate busier practices that need immediate help, but my own experience doesn’t echo that.
There’s also a good amount of in-app guidance during setup. The onboarding flow walks you through adding clients, creating services, connecting your calendar, and setting up billing, making it easier to get started without contacting support.
If you’re comfortable with self-service help and don’t mind waiting a bit for a reply when needed, Healthie’s support should meet your needs. But if you expect rapid response times or phone-based guidance, it may feel a bit light. Healthie earned 3 out of 5 stars in this category.
